    Why I Built a Reporting Layer on Top of BookingKoala

    I want to be upfront about something: I like BookingKoala. My cleaning company runs on it. Customers book through it, jobs get scheduled in it, my providers get dispatched and paid through it. If you asked me whether you should use it to run a cleaning business, I'd say yes without hesitating.

    So this isn't one of those "why I ditched my booking software" posts. I didn't ditch anything.

    What happened instead is that somewhere around the time my company stopped being a one-man scramble and started being an actual business, the questions I needed answered changed, and my software didn't change with them.

    The questions changed

    Early on, the only question that matters is "what's on the schedule today?" Booking software answers that beautifully. That's its whole job.

    But once you have a few cleaners and a marketing budget, the questions get harder:

    • Which lead source is actually making me money? Not sending me leads, making me money.
    • Is my recurring base growing, or am I just replacing the clients I lose?
    • What did I really profit last month, after payroll and supplies and ads?
    • Which of my cleaners gets the five-star reviews, and which one gets the complaints?

    None of those live inside one tool. The bookings are in BookingKoala. The money is in Stripe and my bank account. The ad spend is in Google's dashboard and Facebook's dashboard, which agree on nothing. The reviews are on Google Maps. The complaints are, honestly, in my text messages.

    My Sunday night spreadsheet era

    For a long time my solution was a spreadsheet. Every Sunday night I'd export bookings, copy in my Stripe payouts, type in what I'd spent on ads that week, and try to make the columns line up. It took about two hours when I was disciplined and didn't happen at all when I wasn't.

    The worst part wasn't the time. It was that I still didn't trust the numbers. Every formula was one paste-into-the-wrong-row away from lying to me, and a spreadsheet never tells you when it's wrong. I made real decisions (hiring, ad budgets) off numbers I had maybe 80% confidence in.

    So I built the thing I wanted to buy

    I looked for software that would do this and kept finding two categories: generic BI tools that wanted me to become a data analyst, and CRMs that wanted me to abandon the booking system that was working fine. Neither was the answer.
