BookingKoala + Stripe

    BookingKoala says you made $41,000.
    Your bank account disagrees.

Booked revenue, Stripe deposits, and what you actually spent are three different numbers living in three different places. CleaningInsytes joins them into one profit & loss that updates itself every day.

Why no single tool can show you profit

Each system is right about its own slice. Profit is what you get when the slices are put back together.

BookingKoala shows booked revenue, not collected revenue

A $220 job on the schedule is $220 in BookingKoala. In Stripe it is $213.32 after fees, or $0 if the card declined, or -$220 if it was refunded next week.

    Stripe shows money, not jobs

Stripe knows a charge happened. It does not know which service, which provider, which lead source, or whether it was a first clean or the 40th visit.

Your expenses live somewhere else entirely

Payroll, supplies, fuel, insurance, and ad spend are on your bank and credit card statements. Neither BookingKoala nor Stripe has ever seen them.

    From BookingKoala

Every job, with the context Stripe will never have

Bookings arrive through a webhook as they are created, completed, rescheduled, or cancelled. Each one carries the service, frequency, provider, provider pay, and lead source, so revenue can be sliced the way an owner thinks about it.

    • Live webhook via Zapier or Make, set up in minutes
    • CSV import to backfill years of history
    • Cancellations and reschedules reflected automatically
    • Provider pay captured per job for true labor cost

The expenses neither of them can see

Payroll, supplies, fuel, insurance, software, and ad spend come in from your business checking and credit cards through Plaid. Categorize a vendor once and rules file every future transaction from them. Anything uncertain waits in a review queue instead of landing in the wrong bucket.

    • Bank-grade Plaid connection, credentials never stored by us
    • Rules engine learns your vendors after one categorization
    • Own-account transfers filtered out, never double-counted
    • Marketing spend lands next to the leads it produced

    Set up in an afternoon

Three connections. Each one is optional, and each one you add makes the P&L more complete.

    1. Connect BookingKoala

Point a BookingKoala webhook at CleaningInsytes through Zapier or Make. Optionally import a CSV of past bookings so trends start with history.

    2. Install the Stripe app

Click Connect, approve on Stripe’s consent screen, done. Charges, fees, refunds, and payouts start syncing and stay current daily.

    3. Link your bank

Connect checking and cards through Plaid, categorize your regular vendors once, and let the rules engine handle the rest.

    Common questions

Do I need to change anything in BookingKoala or Stripe?

No. BookingKoala keeps booking, scheduling, and charging exactly as it does today. CleaningInsytes reads from both: BookingKoala through a webhook (via Zapier or Make) and Stripe through the official CleaningInsytes Stripe App, which you approve on Stripe’s own consent screen. Nothing about how you run the business changes.

Which Stripe account do I connect?

The same Stripe account BookingKoala charges your customers through. CleaningInsytes syncs its charges, processing fees, refunds, disputes, and payouts daily, so the money side of every job lands next to the booking side.

How are processing fees and refunds handled?

Stripe fees are broken out as their own P&L line instead of silently reducing revenue, so your margin is honest. Refunds are tracked so the revenue you see is what you kept, not the gross figure before the refund.

Where do payroll and other expenses come from?

From your bank accounts and credit cards, connected through Plaid. Categorize a vendor once (your payroll provider, your supply store, Google Ads) and the rules engine files every future transaction from them automatically. Transfers between your own accounts are filtered out so nothing is double-counted.

Does this replace QuickBooks or my accountant?

No. This is the operator’s view: whether the business made money this month, on which services, and why. Your accountant still closes the books for taxes. Many owners use both, and the categorized ledger makes the accountant’s job easier.

Who on my team can see the P&L?

By default only owners. You can extend finance access to specific roles, while the rest of your team keeps full use of the operational dashboards. Every company’s data is isolated with row-level security.
